Overview
Due to considerable growth in out client's fee base, they are expanding their team to ensure continued excellence in client service. To support this growth, they are introducing a second Client Services Administrator position. 

The successful candidate will manage a designated portfolio of clients, including those aligned with senior team members advancing toward Directorship. While workflow coordination remains centralised, the CSA will will take ownership of key administrative functions such as ASIC company statement (via NowInfinity), SMSF queries, Xero job reporting and debtor management for the entire client base.

Responsibilities

Support to the Director

  • Professionally screen calls and manage client needs
  • Coordinate appointments and organise meeting material
  • Professional and prompt completion of general correspondence
  • Maintain a proactive, service - oriented mindset toward the Director and clients
Client & General Admin Support
  • Prepare client engagement letters
  • Collation of tax packages and manage compliance documentation
  • Maintain ATO and Xero databases with client updates and changes
  • Handle mail distribution, invoicing, scanning and client lodgements
  • Assist with office hospitality, boardroom setup & presentation
  • Help manage debtor communication and weekly client reports for the client base
Corporate Administration
  • Prepare ASIC Company Statements and related documentation for the entire client base
  • Coordinate with ASIC and Prime Corporate for the set up of new companies
  • Liaise with the lawyer for the set up of new Trusts
  • Register clients with ATO for TFN, ABN, GST and PAYG
  • Maintain electronic and physical corporate records meticulously
Skill & Experience
  • Strong MS Office and General computer skills
  • Excellent written, analytical and problem-solving abilities
  • Outstanding communication and confidentiality
  • Ability to operate standard office equipment, including but not limited to, computers, telephone systems, scanners, calculators, copier and facsimile machine
  • Sharp attention to detail and top-tier time management
  • Ability to maintain a high level of confidentiality concerning financial files
